Privacy Policy

This Privacy Policy explains how Ptterns S. de R.L. (“Waiter AI,” “we,” “us,” or “our”) collects, uses, shares, and protects personal data in connection with the Waiter AI service. By using the Service, you acknowledge this Policy. For any privacy-related question, contact us at hi@ptterns.com.
1. Who We Are
Waiter AI is a service operated by Ptterns S. de R.L., a company registered in Honduras. We provide restaurants with an AI-powered virtual waiter that allows their customers to place food orders and make service requests via WhatsApp, along with a web dashboard for restaurants to manage the service.
2. Who This Policy Covers
- Restaurant owners and staff who create accounts and use the Waiter AI dashboard at waiter.world.
- Restaurant customers who interact with the Waiter AI virtual waiter via WhatsApp by scanning a QR code at their table.
3. Data We Collect
From restaurant owners (dashboard users)
- Name and email address, used to create and manage your account;
- Restaurant information you provide: name, type, location, service hours, menu, Wi-Fi details, FAQs, and other configuration details;
- Billing information, processed by our payment provider (see Section 5). We do not store raw payment card data.
From restaurant customers (WhatsApp users)
- WhatsApp ID — a stable identifier assigned by WhatsApp to your account, which does not change if you change your phone number;
- Phone number — as provided by WhatsApp when you send a message;
- Message content — the text of your conversation with the AI waiter during your session;
- Order information — items ordered, modifiers, quantities, and order totals;
- Food preferences and dietary restrictions — only when you explicitly state them in a conversation (e.g. “I’m allergic to peanuts”), saved to personalize future interactions;
- Session data — which restaurant and table you were at, and when.
What we do NOT collect from customers
- Real name (unless you share it voluntarily in conversation);
- Email address;
- Payment information (all payments for food and beverages are handled physically at the restaurant);
- Location data.
4. How We Use Your Data
Restaurant owners
- To operate and maintain your dashboard account;
- To configure and personalize the AI waiter for your restaurant;
- To display orders, service tickets, and conversation logs in your dashboard;
- To send service-related communications and process billing.
Restaurant customers
- To route your WhatsApp messages to the correct restaurant’s AI waiter;
- To take and display your food orders to the restaurant;
- To answer your questions about the menu and restaurant;
- To remember your food preferences across future visits (only if explicitly shared);
- To create a service ticket when you request assistance.
Service improvement, analytics, and AI training
We also use data generated through the Service — including messages, orders, and interaction data — to operate, secure, analyze, develop, and improve the Service and our AI systems, including how the virtual waiter recommends, describes, and presents menu items. Where we use data for these purposes, we work with aggregated and de-identified data that does not identify you, any restaurant, or any individual customer. Aggregated and de-identified data may be retained and used for any lawful purpose, including improving the Service for all users, and this use may continue after your account is closed.
5. How We Share Your Data
With restaurants. When you interact with a restaurant’s AI waiter, that restaurant can see your orders, service requests, and conversation history through their Waiter AI dashboard. This is necessary to fulfill your order and provide service.
We do not sell your personal data to any third party, advertiser, or data broker — ever.
Service providers. We rely on the following third parties to operate the Service, each contractually required to handle data securely and only for the purposes described here:
- Paddle — our payment provider and Merchant of Record for restaurant subscriptions; processes billing and handles payment card data;
- Supabase — database and file storage; data is stored in the United States (Oregon) region;
- AI model providers — the large-language-model provider(s) that power the virtual waiter conversation;
- Meta / WhatsApp — the messaging platform used to deliver the service;
- WorkOS — authentication for restaurant dashboard accounts.
Legal requirements. We may disclose data if required by law, court order, or governmental authority in Honduras or another applicable jurisdiction.
6. Data Retention
- Customer conversation and order data is retained for up to two (2) years from the date it was created;
- Customer food preference profiles are retained until you request deletion;
- Restaurant account data is retained for the duration of your active account and deleted within 30 days of account closure;
- Aggregated and de-identified data may be retained indefinitely, as it no longer identifies any individual.
7. Your Rights as a Customer
If you interacted with Waiter AI as a restaurant customer, you may request access to, deletion of, or correction of the data we hold about you. To exercise any of these rights, email us with your WhatsApp phone number and we will respond within 30 days.
8. Your Rights as a Restaurant Owner
Restaurant owners can manage and delete their restaurant’s data directly through the dashboard at waiter.world. You can delete your account and all associated restaurant data at any time from your account settings.
9. Data Security
We store data with Supabase on servers located in the United States (Oregon). We use industry-standard security practices, including encrypted connections (HTTPS/TLS), row-level security on our database, and API-key authentication for internal services. No system is 100% secure; if you believe your data has been compromised, contact us immediately at hi@ptterns.com.
10. International Data Transfers
Waiter AI operates from Honduras and stores data with service providers located in the United States. By using the Service, you understand that your data may be processed and stored in countries other than your own, which may have different data-protection rules. We take steps to ensure your data is handled in accordance with this Policy wherever it is processed.
11. WhatsApp and Meta
Waiter AI operates over WhatsApp using the WhatsApp Business API provided by Meta. When you scan a QR code and send a message to our WhatsApp number, your interaction is also subject to Meta’s Privacy Policy. We use one shared WhatsApp business number per country; individual restaurants do not have access to your WhatsApp account.
12. Children’s Privacy
Waiter AI is not intended for use by children under 13 years of age. We do not knowingly collect data from children. If you believe a child has interacted with our service, contact us at hi@ptterns.com.
13. Changes to This Policy
We may update this Policy as the Service grows. When we do, we will update the “Last updated” date at the top. Continued use of the Service after changes constitutes acceptance of the updated Policy.
