Refund Policy

This Refund Policy applies to subscriptions to the Waiter AI service operated by Ptterns S. de R.L. (“Waiter AI,” “we,” “us,” or “our”). It forms part of, and should be read together with, our Terms of Service. By subscribing to the Service, you agree to this Policy.
1. Overview
Waiter AI is a subscription software service billed monthly, consisting of a recurring base fee plus usage-based charges determined by the volume of messages your account uses during each billing cycle. Payments are processed by Paddle, which acts as our Merchant of Record and seller of record for your subscription.
2. Subscription Fees Are Non-Refundable
All fees are non-refundable. Except where required by applicable law, we do not provide refunds, credits, or pro-rated reimbursements for any fees already incurred, for partial billing cycles, for unused message capacity, or for periods during which you did not use the Service. Because usage-based charges reflect service we have already delivered, amounts billed at the end of a cycle remain payable in full.
3. Cancellation
You may cancel your subscription at any time through your dashboard or by contacting us. When you cancel:
- Your cancellation stops future base-subscription charges;
- You remain responsible for all fees, including usage-based fees, incurred up to the effective date of cancellation;
- Your access continues until the end of the current billing period, after which the Service ends;
- There are no cancellation fees or penalties.
We believe in earning your business each month rather than locking you into long-term contracts.
4. Billing Issues and Payment Disputes
Because Paddle is our Merchant of Record, Paddle processes your payments, issues your invoices, and handles applicable taxes. If you have a billing question or believe you were charged in error, contact us first at hi@ptterns.com so we can resolve it quickly. Billing disputes and any refunds that we approve are processed through Paddle, and may also be subject to Paddle’s own buyer terms and protection policies.
5. Exceptions and Discretionary Refunds
Nothing in this Policy limits any non-waivable rights you may have under applicable law. In addition, we may, at our sole discretion, issue a refund or credit in individual cases — for example, in the event of a confirmed duplicate charge or a verified billing error on our side. Any such refund is made at our discretion and does not create an obligation to provide refunds in other circumstances.
6. Failed Payments
If a charge fails, we will automatically retry your payment method and notify you by email. You will have a grace period of three (3) days to settle the outstanding amount. If full payment is not received within that period, we may place your account on hold and suspend the Service until the balance is paid. Suspension for non-payment does not entitle you to a refund of fees already incurred.
7. How to Cancel or Request Help
To cancel, log in to your dashboard at waiter.world and manage your subscription in your account settings, or email us at hi@ptterns.com. For any billing question, reach us at the same address and we will respond promptly.
8. Changes to This Policy
We may update this Refund Policy from time to time. When we do, we will update the “Last updated” date at the top. Continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
